What's the difference between a wedding planner and a wedding coordinator? Here's what Lucy from Caro Events has to say...
I often get asked what the difference is between a wedding planner and a wedding coordinator, and I always try to emphasise that they are very different roles that can be provided by different people, or you may find someone that does both (like me!).
The essential difference between a wedding planner and a wedding coordinator is that a wedding planner will help you throughout the whole planning process (sourcing/booking suppliers, managing budget/RSVPs/timeline, working out seating plans and general logistics), and the wedding coordinator will be there on the day to make sure it all runs smoothly for you (overseeing set-ups, coordinating suppliers, keeping to your schedule).
Depending on the type of venue you choose for your wedding, you may have a ‘wedding coordinator’, ‘venue coordinator’ or ‘wedding manager’ (other titles may be used), who will work for the venue and are included in the venue hire price. This coordinator will usually be your point of contact with the venue in the lead up to your wedding and will then run it for you on the day. If you do have this service included, then you would not necessarily need to hire an external wedding coordinator. However, if you decide to employ a wedding planner who also offers on-the-day coordination, you may want them there with you on the day, as you would have worked closely with them, built a relationship and a level of trust and they would know exactly what you want and expect for your big day.
Whilst a venue coordinator will know the venue and staff, they may not be prepared to be at your beck-and-call in the way that a planner or coordinator would, which is something to bear in mind. If the photographer didn’t show up, would the venue coordinator know or have someone they could call on at the last minute? Or if you realised you’d forgotten your tights (or some other essential item!) would the venue coordinator be able to help you? As a wedding coordinator, I always make sure I have my emergency wedding kit with me for brides to use, and I have a trusted list of incredible suppliers that I can contact in case of an emergency.
If you are planning a DIY wedding or using a dry hire venue, then you will need to source everything yourself, including tents/marquees, generators, toilets and caterers, as well as the standard suppliers, such as florists, photographers, cake, etc. You will also need to take in to account arrival and set-up times for the big suppliers and overseeing them in the days before and after the wedding. This will obviously increase your to-do list and could be more stressful, so you may find it beneficial to hire a wedding planner to assist you with certain aspects. You will also find it advantageous to hire a wedding coordinator (or your wedding planner if they offer this service) to run the day for you, as you will need someone to coordinate suppliers, move furniture, assist your guests and generally make sure the day runs to your schedule.
Most wedding coordinators will just offer a set on-the-day package, but I like to differentiate myself from them but offering a truly bespoke service; if you would like assistance in the six weeks leading up to your wedding with liaising with suppliers, making final payments, arranging your seating plan, etc. then I can do this; if you need some help onsite in the week before, setting up props etc. I can also do this; if you literally just want me there on the day itself, I can do this; I can also oversee the take-down and clean-up operation the day after the wedding. Whatever you need, I will completely tailor my service to your requirements.
